New Business
Marketing
- Per the fiscal 2010 plan, Jenna suggested intensive marketing for Alcohol Awareness Month and the Swimming Upstream awards, similar to the saturation of the holiday season advertising. She said that at one time the Task Force considered running a half page ad after the Swimming Upstream Awards with the names of awardees. Susan is concerned that the same people are at the awards every year and thought that running ads might bring in new attendees. She suggested that the city might run an announcement on their TV channel. After discussion, the group agreed that it would be good to invite all media, including newspaper and television to the event rather than investing in a large ad. For ads in outlying city newspapers, Susan motioned to allocate $250. Her motion was seconded by Jeremy. The motion passed. David Madison
suggested sending out a condensed, effective press release.
- MSU Pow-wow Program: Jenna asked the group if they want to advertise in the program for this year’s MSU Pow-Wow. She has not been contacted yet about advertising but wanted to be prepared if she is. In the past, the cost of a full page was about $225. K.C. motioned to approve $225. The motion was seconded by Jeff and approved.
- Swimming Upstream Awards: Jenna reminded the group that the 2010 budget includes $500 for the awards. She thought it may cost slightly more, depending upon the cost of frames for the awards and food. Jason handed out a sign-up sheet for Task Force members to sign on to help out on the night of the awards
Other
- Stats Update: Jenna circulated charted 2008 April/May DUI stats. She asked members to review them and note suggestions for fine tuning the stats presentation.
- Fiscal 2011 plan:
- Jenna had contacted Earl Mathers, the CO of Gallatin County, in January requesting his input on crafting a more streamlined and workable Task Force plan for fiscal 2011. He had reviewed the 2010 plan and thought it beyond what a part time employee could accomplish. Jenna plans to meet with Earl again. Jeremy suggested we not wait till next year to re-design our annual plan. Force said that we need to spend some uninterrupted time re-designing the plan as soon as possible. Because the deadline to submit the plan is at the end of May, Jenna suggested that strategic planning be built in to the fiscal 2011 plan allowing up to 6 months for the process. She reminded the group that there is a board training option with Hopa Mountain coming up and encouraged members to attend. Also, the April 14, 15th state DUI TAsk Force meeting
includes a full day of strategic planning. Terry Dutro, a new citizen member with the Task Force, and Cherie have both indicated interest in attending that training.
- Susan recommended the group hire a facilitator and suggested a full day strategic planning retreat. Jenna said she had spoken with Beki Brandborg, a facilitator recommended by Lorelle with Highway Traffic Safety. Becki recommended a strategic planning retreat for the Task Force, allowing at least four hours for that process . Cherie agreed to follow up with Becki as well as researching other options for professional facilitation and will present those to the group at the next meeting.
Financial
- The group voted to table all further agenda items except the grant option with the state as presented and the Lifesavers Conference. Susan motioned to approve the grant, Bob seconded. Motion passed.
- Erin Murphy from the County Attorney’s office told the group that Scott will not be able to attend the Lifesavers Conference in April. Jenna suggested the group take those already-approved funds in the amount of $1700 and devote those to hiring a good facilitator. Susan motioned to approve, Jeff seconded. Motion passed.
